I. What does this policy cover?

This policy is applicable to all personal data collected and processed by Future Facilities Limited and affiliates, currently Future Facilities Incorporated, Future Facilities KK and 6SigmaDC Limited. This policy is also applicable to the websites produced and operated by Future Facilities Limited and associates (hereinafter referred to as “the Website”), currently Future Facilities Incorporated, Future Facilities KK and 6SigmaDC Limited. The primary websites that collect and process personal information are futurefacilities.com and 6SigmaET.info.

This privacy policy has been compiled to explain how 'Personally Identifiable Information' (hereby referred to as (“personal data”) given when people the data provided is being used. Personal data is information that can be used on its own or with other information to identify, contact, or locate a single person, or to identify an individual in context. Please read our privacy policy carefully to get a clear understanding of how we collect, use, protect or otherwise handle your personal data.

This policy complies with major privacy policies including but not limited to EU regulations of GDPR.

II. Your Data Privacy Rights

  • Right to be forgotten (erasure): You may request that Future Facilities permanently delete your account and all data associated with it, this right is only applicable in certain situations all of which are explained fully on the ICO website
  • Right to object: You have the right to object to processing based on legitimate interests or the performance of a task in the public interest/exercise of official authority (including profiling); direct marketing (including profiling); and processing for purposes of scientific/historical research and statistics.
  • Right to rectification: You may contact us to correct your information if at any time you notice our records need updating. 
  • Right of access: Our Privacy Policy describes what data we collect and how we use it. If you have specific questions about your personal data, you can contact privacy@futurefacilities.com for further information or a viewable copy at any time.
  • Right of portability: We will export your account data in a universal format within 21 days of a written request to privacy@futurefacilities.com.

III. Lawful Basis for Collecting Data

We will only process your personal data for one of the following lawful basis:

  • Consent: You have given explicit consent for us to process your personal data for a specific purpose.

  • Contract: The processing is necessary for a contract between Future Facilities and either yourself or your organization, or to fulfill necessary process in preparation for entering into a contract.

  • Legal obligation: the processing is necessary to comply with the law (not including contractual obligations).

  • Vital interests: the processing is necessary to protect someone’s life.

  • Public task: the processing is necessary for us to perform a task in the public interest or for official functions, and the task or function has a clear basis in law.

  • Legitimate interests: the processing is necessary for our legitimate interests or the legitimate interests of a third party unless there is a good reason to protect the individual’s personal data which overrides those legitimate interests.

IV. Lawful Basis for Your Data Privacy Rights

Depending on which of the above lawful basis are applied, the rights you have under the data privacy law are affected. See the below table indicating rights which are unavailable.

V. When do we collect data and how do you get my consent?

When you provide us with personal data - when you register on the Website , register for the user support forum, register for a webinar, request or complete a download, subscribe to a newsletter, participate in a survey, provide us with feedback on our products or services, fill out a form, or enter information on the Website - we request your consent to our collecting it and using it for that specific reason via opt-in opportunities.

If we ask for your personal data for a secondary reason, like marketing, or receive your personal data through a non-traceable route, such as receiving your business card at an event, we will ask you directly for your explicit consent to opt-in. 

VI. When do we collect data and how do you get my consent?

Information and content that you provide when completing forms on the website (for full details please read our website policy). This can be when you are subscribing to our newsletter, signing up for a trial, requesting us to get in touch, requesting access to the user forum and other such interactions. You may be asked to enter your name, email address, mailing address, phone number, job title, company or other such details to allow us to provide the information and services offered, and for general business management purposes. 

We never collect credit card or other similar information.

VII. When do we collect data and how do you get my consent?

We use your information to:

  • Provide our products and services: Deliver products and/or services and reports; Issue licenses for the products we sell; Develop tailored services with you and deliver them to you.

  • Improve our products and services: Following your comments, requests and queries regarding our products or services to be able to review these with you and report outcomes back to you.

  • Communicate with you: Keep you informed of upcoming new products and services; Keep you updated with our terms and policies; Keep you informed of current products and any related issues; Respond to any queries you contact us with.

VIII. How do I withdraw my consent?

If, after you opt-in, you change your mind you may withdraw your consent:

  • For us to contact you

  • For the continued collection, use or disclosure of your information

at any time by contacting us at privacy@futurefacilities.com or mailing us at: Future Facilities Limited, 1 Salamanca Street, LONDON, SE1 7HX, United Kingdom, FTAO Office Manager. We will promptly update or remove you from correspondence as per your request.

Data will be removed within no more than 21s days from receiving the request.

IX. How do we protect your information?

Sending information over the internet is generally not completely secure, and we can’t guarantee the security of your data while it’s in transit. Any data you send is at your own risk.

To protect your personal data once we receive it, we take reasonable precautions and follow industry best practices to make sure it is not inappropriately lost, misused, accessed, disclosed, altered or destroyed. Your personal data is contained behind secured networks and is only accessible by a limited number of persons who have special access rights to such systems, and are required to keep the information confidential. In addition, should we have a legitimate need to process sensitive/credit information you supply, it will be encrypted via Secure Socket Layer (SSL) technology.

We implement a variety of security measures when a user enters, submits, or accesses their information to maintain the safety of your personal data.

All transactions are processed through a gateway provider and are not stored or processed on our servers.

X. Data Breaches

In order to be in line with fair information practices we will take the following responsive action: should a data breach occur, we will notify via email and make an in-site notification within 7 business days.

XI. How long do we retain your data?

Retention periods are set depending on the lawful basis for which your personal data is collected in the first place. We will retain your personal data for the period necessary to fulfill the purposes outlined in this privacy policy and as otherwise needed to comply with applicable law and internal company policies. We retain all personal data in accordance with the requirements of our retention schedule and then delete it securely. XII. Third-party disclosure

Future Facilities ensures that all external data processors are also GDPR compliant and satisfy our own policy requirements.

We do not sell, trade, or otherwise transfer your personal data to outside parties for anything other than Future Facilities processing requirements, unless we provide you with advance notice and obtain your explicit consent. When advance notice is given we recommend that you read their privacy policies so you can understand the manner in which your personal data will be handled by these providers specifically.

Data processors that Future Facilities use and their privacy policies will be made available upon request to privacy@futurefacilities.com.

We may also share your personal data with companies in our group/our affiliates all of which are covered under internal data sharing agreements.

We may release personal data in order to comply with the law, enforce the Website policies, or protect ours or others' rights, property or safety.

Non-personally identifiable visitor information may be provided to other parties for statistical analysis or other such uses.

For avoidance of doubt, should Future Facilities Limited or its associates receive personal data from a 3rd party whom you have given authorization to, Future Facilities would protect and use the data in the same manner as described herein and you would have the same rights as detailed in section II.

XIII. Age of consent

We do not specifically market to children under the age of 16 years old.

By using this Website, you represent that you are at least the age of majority in your state or province of residence, or that you are the age of majority in your state or province of residence.

XIV. Changes to this privacy policy

We reserve the right to modify this privacy policy at any time, so please review it frequently. Changes and clarifications will take effect immediately upon their posting on the Website. If we make material changes to this policy, we will notify you here (on the Website) that it has been updated, so that you are aware of what information we collect, how we use it, and under what circumstances, if any, we use and/or disclose it.
